How do I schedule loyalty reminder and point expiration emails?

Use Settings > Email Templates to enable and schedule Glow's automated reminder emails. The schedule controls are inside each email template, not in a separate calendar page.

Use Settings > Email Templates to enable and schedule Glow's automated reminder emails. The schedule controls are inside each email template, not in a separate calendar page.

Glow has three reminder-style templates:

  • Points Expiration Notice: reminds members before their points expire.

  • Points Balance Reminder: periodically reminds members that they have unused points.

  • Discount Code (Reminder): periodically reminds members that they have unused discount codes.

Before you start

Check these settings first:

  • Point expiration notices only send when point expiration is turned on in Settings > Account Settings > Behavior.

  • Points Balance Reminder and Discount Code (Reminder) are available on paid plans.

  • Each reminder template has its own Enable Email? setting.

  • Email text is managed in Settings > Translation. Full HTML template editing may require paid-plan access or support-enabled template access.

Open the reminder templates

  1. In Glow, go to Settings > Email Templates.

  2. Find the reminder template you want to configure.

  3. Click View Template when the template is available.

If a template shows Upgrade, that reminder is not available on your current plan.

Schedule the Points Expiration Notice

The Points Expiration Notice warns members before their points expire.

  1. Open Settings > Email Templates.

  2. Open Points Expiration Notice.

  3. Set Enable Email? to Enabled.

  4. Under When to Send, choose when the notice should send.

  5. Click Save Email Settings.

The expiration notice options are 3 Days before expiration, 7 Days before expiration, 14 Days before expiration, and 30 Days before expiration.

If your points are set to Never Expire, Glow shows a warning and the expiration notice will not be sent. Turn on point expiration first if you want to use this email.

Glow checks for upcoming point expirations once per day. The email is not sent at the exact minute a customer's points reach the selected window.

Schedule the Points Balance Reminder

The Points Balance Reminder periodically reminds members that they have points available.

  1. Open Settings > Email Templates.

  2. Open Points Balance Reminder.

  3. Set Enable Email? to Enabled.

  4. Under When to Send, choose the interval.

  5. Under Recipients, choose the group.

  6. Click Save Email Settings.

The balance reminder interval options are Every 30 Days, Every 60 Days, and Every 90 Days.

The recipient options are All active members eligible for rewards and All active members.

Use All active members eligible for rewards when you only want to remind members who have enough points for your lowest-cost reward. Use All active members when you want to remind any included member with a point balance greater than 0.

Glow shows the current number of members eligible to receive the Points Balance Reminder on the template page.

Schedule the Discount Code Reminder

The Discount Code (Reminder) periodically reminds members that they have unused discount codes.

  1. Open Settings > Email Templates.

  2. Open Discount Code (Reminder).

  3. Set Enable Email? to Enabled.

  4. Under When to Send, choose the interval.

  5. Click Save Email Settings.

The discount reminder interval options are Every 30 Days, Every 60 Days, and Every 90 Days.

Glow only sends this reminder to included members who have at least one unused discount code.

How Glow decides who receives reminders

Glow checks reminder eligibility once per day.

For Points Expiration Notice, Glow looks for included members who:

  • Have a point balance greater than 0.

  • Belong to a store where point expiration is turned on.

  • Are approaching expiration based on the selected When to Send window.

  • Have the expiration notice email enabled, or have another supported notification method configured.

For Points Balance Reminder, Glow looks for included members who:

  • Are on a store with a paid plan.

  • Have a point balance greater than 0.

  • Match the selected Recipients setting.

  • Have not received this reminder within the selected interval.

  • Have the reminder email enabled, or have another supported notification method configured.

For Discount Code (Reminder), Glow looks for included members who:

  • Are on a store with a paid plan.

  • Have at least one unused discount code.

  • Have not received this reminder within the selected interval.

  • Have the discount reminder email enabled, or have another supported notification method configured.

If Klaviyo or webhooks are enabled, Glow's scheduled reminder checks can also dispatch the matching Klaviyo events or webhook events. This article focuses on Glow's customer emails.

Common issues

The template shows Upgrade

The Points Balance Reminder and Discount Code (Reminder) are paid-plan reminder templates. Upgrade to a paid plan before using those reminders.

The Points Expiration Notice says it will not be sent

Point expiration is probably set to Never Expire. Go to Settings > Account Settings > Behavior and turn on a point expiration window before using the expiration notice.

A balance reminder did not send to a member

Check that the member has a point balance greater than 0, is included in your loyalty program, and matches the selected Recipients setting.

Also check whether the member already received the reminder recently. Glow waits for the selected 30, 60, or 90 day interval before sending another one.

A discount reminder did not send to a member

Check that the member has an unused Glow discount code. Used, disabled, expired, or otherwise unavailable discount codes are not treated as unused codes for this reminder.

I changed the schedule, but emails did not send immediately

That is expected. Glow checks reminder eligibility once per day. Saving a schedule changes future reminder checks; it does not immediately send the email to every eligible member.
